Ive been here a few times and for both official purpose and leisure (Eid celebration before covid).
Based on my personal experience, the ground floor staff are the ones rude/not meant to work in customer service field.
Recently I made 2 calls, the first one was helpful but left me annoyed as she rushed her explanations and cut the call first, without any grettings (very unlike Japanese). The 2nd call was pleasant, the female staff was very helpful and very polite.both were japanese.
Unexpectedly (for me at least), the Malaysian staffs were way more professional (Mr Farriq & Ms Thangeswary were HUGE help!).
I hope all the staff working here keep in mind that the Embassy exists to help Malaysians abroad (maybe empathize and allow mailing for documents etc)
I had to take 2 days leave to stay overnight (as they only open in the AM during the pandemic), fly to Tokyo just to pass my documents that took 15mins? To settle in the middle of 5th wave pandemic ffs sake.
*Edit: i had contact with them again and its always bad. That one pleasant call (refer above) was the only good service I got from the Japanese staff.what a waste (;_;)
Applying for Emergency Certificate (EC). Very effective services.guiding me thru email.thanks alot to Mr raffiq and Mrs ohbu for excellent service.both are very friendly.thank alot! Malaysia Boleh!
People say an embassy is an extension of a country outside itself, while the Malaysian Embassy shows a magnificent example of 文化交流 (cultural exchange) where the Japanese staffs works and behaves like Malaysian civil servants in general. To elaborate my point, inefficient (short hours, worse during Covid times), rude and annoyance literally written on their faces. You can tell that they do not like working there.
Here is where you can experience Japanese work culture, civility and manners being cancelled by passing through a gate and a glass door, with an exception of the guards. This is the only place I can think of in all of existence where the paragon of Japanese civility and manners turned into polar opposites. One thing I could guarantee is that the staffs would flourish working as civil servants in Malaysia.
Worst service I've ever experienced in Japan. Extremely rude attitude. Wonder what kind of strong connection brought her there to get the job.
She shouldn't be representing Malaysia.
Whilst I can’t help but agree with many others here that have found it difficult getting an appointment at the embassy. From my own experience, an appointment could take more than a month. As I understand it, this is largely attributed to Covid and the various precautionary measures that the embassy has taken to limit the amount of visitors into the embassy.
Although, there have been a few occasions where I have needed an appointment with absolute urgency, and upon conveying the exceptional nature of my circumstances, the embassy had done their best to assist me and slot me in where possible.
One particular Embassy Officer that has been of great assistance is Encik Farriq, whom has repeatedly been helpful and professional. I am very grateful for the efforts that Encik Farriq has made in his service at the embassy. Further, I have always found all the officers and administrators at the embassy to be hospitable and professional in my interactions with them.
I do hope that more can be done to improve the appointment times at the embassy. Hopefully, once covid and travel restrictions begin to subside, the embassy can return to full and efficient operations.

Short business time, no one answering the phone call, & doesn't respond to email inquiry. Overall, the services is too poor and slow. Don't know what they do inside the building
While the services are fine, the short time where embassy is open, and no available online appointment system makes it difficult to plan visits or confirm hours of appointment.
Marriage is almost impossible if you don't have a well connected family back in Malaysia.
And even if you do, it may take 6 months to be married due to lack of appointments available and back and forth.
I hope they can improve the booking hours availability soon. Otherwise the place is fine.
Seems like people can't get married in malaysia either.
The staffs were very efficient. Bringing all the required documents in an organised manner is highly advisable. Glad to be able to visit Malaysia embassy for the first time here.
I arrived in Japan 10 months ago and I had a struggle with the passport renewal procedure. Mr. Farriq guided me through the whole process via email and I had to come to the counter due to some misunderstandings of documents attachments. Ms Ohbu attended me with kindness and helped me with the documents and payment. It was my first visit to the embassy and it was a worth one after 2-hour drive in morning heavy traffic from my place. Thank you for the good service.
1) Trying to apply marriage registration with my fiancee who is from England in Tokyo, and email them for necessary documents to be submit. They reply with a paper stating Malaysian marrying Japanese, which I have clarify with them I'm not marrying a Japanese! However, they never give any further instruction if marrying foreigners is the same process. In the end, they said we forgot to send them my fiancee's single certificate which was never mentioned in the instructions at all!
2) Emailed them regarding on what documents need to submit to JPN back in Malaysia. As expected, they never reply the email. I have to figured it out Googling it.
3) Make a typo on fiancee's name on my Certificate of No Impediment of Marriage, which triggered me to leave this review! We are being very patient and kind, very cooperative sending all the documents back and forth by using Letter Pack Plus. And waited for months, and in the end they send us an invalid document! And they also never return my fiancee's original single certificate!
4) I always update them regarding sending/receiving documents to/from them. Well, they never reply any acknowledged email until 21 Sep, they start to give me a call on update my documents status. But I already fed up, this change doesn't make me how disappointed I am regarding all the thing I have experienced!
You guys are supposed to represent Malaysia, and it is a shame to say that this experience I had!
A quick tip to not waste your time is to email in advance and get all the details you need before coming over. Details on the (potentially outdated) website could contradict what the floor staff says. Service could be better. Floor staff may feel very unprofessional at times. I've seen people from Bangladesh/Pakistan being treated unfairly. I do not know who funds this embassy but in general knowledge it should be Malaysian taxpayers. Is the representation of the Malaysian hospitality that Tourism Board is trying to appeal? Not saying that Malaysians should be treated differently but it doesn't mean that we deserve this.
We waited a long time for our turn, only to be told that we have all the right documents but we have to fill in a form first, and start queuing from the beginning. Not asking if we need to fill in the form first is perhaps our fault, however why make us queue all over again? More than 1 hour of waiting, and all the while there were at least 3 persons who are allowed to cut queue and submit documents even after leaving the counter to get things done, ie.photostat documents, etc. So why are they an exception? If they insist on queuing all over again, shouldn't it be enforced to all? Furthermore, this is a Malaysian Embassy, but numbers for queue are called out only in Japanese. As a Malaysian, how am I supposed to understand that? Why isn't Malay or English language used, along with Japanese? Rediculous. Btw, maybe waiting wouldn't be so bad if the first lady (with hair tied up) who served us at the counter wasn't so grumpy, unhelpful, and unfriendly. We must say that the second lady (with short hair and glasses) who attended to us was way better, more efficient, pleasant, and nice, and for that we are grateful.
I have been coming to this Embassy few times for some official documentation. As far as I know, the customer service is quite excellent. From the entrance to the 受付、and last to the counters, i m happy with the all the staff here. Insufficient of needed papers were also kindly explained.
However having photocopy machine available in the waiting hall, and the 窓口duty staff could have been 4 —5 people instead of just 2–3 people; would be great help.
